General Summary
The Assistant Operations Manager/Inventory Control Manager has primary responsibility for the inbound and outbound docks, keeping track of missing and damaged gear, managing the inventory control process for their specific location per standard operations procedures, planning and support for all Drivers and deliveries, and assisting the Operations Manager with general shop operations, as needed. This role requires excellent organizational skills that ensure our team members are providing the very best customer service.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities:
- Maintain and operate per 4Wall quality standards in all work activities.
- Actively encourage and participate with employee engagement and culture-building initiatives.
- Work with Operations Manager to develop, analyze, and improve facility operations systems by determining product flow, product handling systems and storage requirements.
- Consult with the Operations Manager on the local level to implement, enforce, and provide feedback on standard operating procedures; develop processes for receiving product, equipment utilization, inventory management, and shipping.
Personal Responsibilities:
- With the Operations Manager, establish priorities, provide direction, assign tasks, coordinate and support the shop staff.
- Partner with the Operations Manager to provide timely reporting and address any issues/concerns as needed.
- Work with the Operations Manager, sales and operations staff to identify equipment shortages and determine the proper resolution, whether through purchasing or sub-renting necessary equipment.
- Assign barcodes to new inventory.
- Conduct and coordinate bi-annual physical inventory or as needed.
- Fix/correct rental and sales inventory discrepancies within Rental Works.
- Entering re-order points and quantities for sales inventory items.
- Processing intercompany equipment transfers within Rental Works.
- Handling receiving discrepancies and damages.
- Quality control on new cases to ensure stenciling is correct and up to specifications.
- Collaborating with designated Brand Book “owner” on new stencil placements.
- Handling and processing of RMA's.
- In coordination with the Check-In Lead, execute inbound and outbound docks ensuring items are properly scanned and accounted for in an organized, safe manner, including cross-rental gear.
- Inventory cross-rental gear prior to returning to vendors.
- Run weekly "late gear" report and discuss any issue with the Operations Manager and Sales.
- Coordinate with Sales to determine extended rental dates as well as missing or damaged gear.
- Work with Operations Manager regarding approvals for billing for any missing gear.
- Work with Sales to determine any trucking needs.
- Oversee staff levels of drivers and work with Operations Manager if there will be shortages in staff.
- Determine truck assignments and routes based on work order and/or oral instructions. Responsible for scheduling truck pick-ups/drop offs.
- Oversee and assist with loading and unloading trailers and/or client pick-ups; identify damaged products when received.
- Assist with general cleanliness and organization of the Shop.
- Ensure all drivers have the training and licenses required to operate their specific vehicles. Ensure all DOT regulations are being adhered to.
- Ensure all employees wear the proper safety mask when painting at all times.
- Actively check and respond to 4Wall emails.
- Other duties as assigned.
Team Responsibilities
- Learn and work in all departments within the Shop as requested by the Operations Manager.
- Communicate in a positive and professional manner with all 4Wall Entertainment employees.
- Ensure all team members maintain accountability and the highest level of customer relations.
- Work in a safe manner and report any safety concerns to your Operations Manager or General Manager.
- Ensure that all employees, vendors, outside contractors, etc. are operating all job tasks, functions, and equipment in a safe manner per company policy and that meets OSHA standards and other governmental or regulatory requirements. Ensure that employees feel comfortable reporting any work place hazards or safety concerns.
Key Requirements
- Knowledge of DOT regulations and requirements.
- Experience managing drivers and scheduling truck pick-ups and drop-offs.
- Functional knowledge of shop operations in a rental shop.
- Understanding and knowledge of theatrical lighting, staging, rigging, and entertainment equipment is required.
- Demonstrated leadership skills and ability to direct, coach, mentor, and support team members.
- Computer skills, including working knowledge of the internet, Outlook, Excel, and the ability to learn new software.
- Must be able to give directions as well as multi-task in a fast-paced environment without supervision.
- Must have a positive attitude, be team-oriented and have great customer service skills.
- Must be able to lift 50 lbs.; duties include loading and unloading trucks.
- Must be able to stand for long periods of time.
- Must be able to drive a forklift.
- High School Diploma or GED is required.
Physical Requirements
The job duties and tasks of this position require the employee to regularly stand and walk. Regular use of computer monitors, and a keyboard/mouse will be required. The employee must regularly push, pull, bend, climb, reach, twist, and kneel as well as lift and/or move 75 pounds. Other physical requirements of the job include communication and visual acuity such as close vision, peripheral vision, depth perception and the ability to adjust focus. Generally, the employee will not be in a temperature-controlled work environment and may experience temperature variations due to local weather conditions.
Availability
- Must be available to work in the evenings and weekends, as required.
