General Summary
Accounts Payable Supervisor oversees the full cycle accounts payable duties as well as various administrative and office support activities to facilitate the efficient operations of the facility.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities
- Weekly AP disbursement selection
- Processing ACH/EFT payments
- Processing wires, both domestic and international
- Managing virtual AP files
Personal Responsibilities
- Review all invoices for appropriate documentation and approval prior to payment
- Maintain Purchase order (PO) log and review/verify POs to vendor invoices
- Maintaining all vendor files, accounts payable reports and spreadsheets, and answer all vendor inquiries
- Download and import various vendor invoices/documents including UPS bills, Amex/Visa bills
- Prepare and submit weekly AP Aging for payment approvals
- Print and obtain signatures on all accounts payable checks
- Processing 1099s at year end
- Prepare various vendor analysis and account reconciliations
- Develop procedures and policies for accounts payable, deposits, refunds, and cash control functions to ensure adherence to company guidelines
- Other duties as assigned.

Key Requirements
- High School diploma or equivalent
- At least 5 years of AP Managerial experience overseeing an AP staff of 10+
- Knowledge of accounting standards, conventions and principles is a must
- Experienced and skilled in general ledger account reconciliations
- Knowledge of accounting software, MAS 500 preferred
- Knowledge of Microsoft Office suite
- Intermediate Microsoft Excel skills required and ability to create formulas
- Knowledge of operation of standard office equipment
- Knowledge of clerical and administrative procedures and systems such as filing and recordkeeping
- Must adhere to all company policies, SOPs, and other management directives.
Physical Requirements
The job duties and tasks of this position require the employee to regularly sit. The employee may choose to stand and move within their working area. Regular use of computer monitors and a keyboard/mouse will be required. The employee must occasionally lift and/or move up to 2 pounds. Other physical requirements of the job include the ability to communicate. Generally, the employee will be in a temperature-controlled work environment set for general comfort.
Availability
- Must be available to work in the evenings and weekends, as required.
