Accounts Payable Specialist

General Summary
The Accounts Payable Specialist is responsible for processing vendor invoices timely and accurately, keeping their location PO Log current, reconciling Vendor Statements and performing projects at the discretion of Accounts Payable management.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities
- Conforming to standard procedures to ensure proper entry into the financial system.
- Ability to learn accounting and other software quickly.
- Managing the accounts payable Inbound emails and processing these in an organized manner.
Personal Responsibilities
- Processing vendor invoices efficiently and accurately in both the RentalWorks and MAS 500 systems.
- Reconciling assigned Vendor Statements to ensure that all vendor invoices have been processed.
- Keeping the PO Log for their assigned locations current.
- Performing other duties as assigned by management.
Team Responsibilities
- Handling inquiries from employees or vendors regarding invoice payments; when necessary, make calls to vendors or employees to clarify invoice items, prices, general ledger coding, etc.
Key Requirements
- High School diploma or equivalent;
- At least 3 years of accounts payable experience;
- Knowledge of accounting standards, conventions and principles;
- Experienced and skilled in general ledger account reconciliations;
- Intermediate to advanced proficiency in Microsoft Excel;
- Experience with MAS 500 and RentalWorks is highly preferred;
- The ability to work well under pressure, meet exacting deadlines, and maintain accuracy
- Must adhere to all company policies, SOPs, and other management directives.
Physical Requirements
The job duties and tasks of this position require the employee to regularly sit. The employee may choose to stand and move within their working area. Regular use of computer monitors and a keyboard/mouse will be required. The employee must occasionally lift and/or move up to 2 pounds. Other physical requirements of the job include the ability to communicate. Generally, the employee will be in a temperature-controlled work environment set for general comfort.
Availability
- Normal schedule would be Monday-Friday, 8am-5pm.
- Must be available to work overtime as needed.
