PREP COORDINATOR

JOB DESCRIPTION

FLSA Status:  Exempt  EEO Class: 5- Administrative Support Workers
Department: Rentals 
Reports to: Operations Manager
Supervises:  N/A

General Summary
The Prep Coordinator is responsible for ensuring all quality standards are being met, branding is consistent, and verifying orders are complete and staged to meet customer requirements.  Position will manage the prep areas to ensure customer needs are met before orders leave, and coordinate with Account Managers to make sure all equipment is included.

Responsibilities of Position: Duties include but are not limited to:

Basic Duties 

  • Show up on time and ready to work 
  • Update prep area display signs to indicate proper prep
  • Print orders and plots for prep crews
  • Utilize IT-supported software/Apps (i.e., Teams, OKTA, RW, etc.) 
  • Create address labels if necessary 
  • De-prep when necessary
  • Manage de-prep crew
  • Assist prep crews with Wi-Fi, printers, and local hospitality
  • Review orders to verify they contain complete working systems 
  • Attend Sales/Production meetings 

Planning/Communication

  • Communicate in a positive and professional manner with all 4Wall Entertainment employees. 
  • Work in a safe manner and report any safety concerns to your direct supervisor, Operations Team, or General Manager.
  • Communicate prep crew needs to shop Operation 
  • Communicate equipment adds to Project Manager or Agent 
  • Communicate equipment delivery expectations with prep crew
  • Notify PM or Agent of any equipment that will be late to the prep 
  • Coordinate prep and de-prep labor with local operations 
  • All direction to the shop flows through the shop

Workflow In 

  • Review, verify, and assign all equipment delivered to prep areas for proper branding

Workflow Out 

  • Check-in all equipment left behind by prep crew 
  • Deliver equipment back to departments 

Maintenance/Repair

  • Ensure all prep area equipment is in working order

Other Duties 

  • Manage Prep Area Schedule
  • Monitor and improve quality to ensure customer expectations are met.
  • Interface with customers and communicate/resolve any issues during prep with the Operations team and Department Heads.
  • Implement existing standards for quality and presentation.
  • Review orders to ensure all equipment needed is included in the order.
  • Assist with logistics and shop labor as needed.
  • Other duties as assigned.

Key Requirements:

  • Must have good computer skills and take a proactive approach to troubleshooting and repair.
  • Must be able to take directions as well as multi-task in a fast-paced environment without supervision.
  • Experience in entertainment lighting and/or video industry is strongly preferred.
  • Must be able to lift 75-100 lbs.
  • Must be able to bend, twist, kneel, and squat on a regular basis.
  • Must be able to stand for long periods of times.
  • Must be able to handle/use various hand tools. 
  • Customer service experience is a plus.
  • Must adhere to all company policies, SOPs, and other management directives. 

Physical Requirements

The job duties and tasks of this position require the employee to regularly stand and walk. Regular use of computer monitors and a keyboard/mouse will be required. The employee must regularly push, pull, bend, climb, reach, twist, and kneel as well as lift and/or move 75-100 pounds. Other physical requirements of the job include communication and visual acuity such as close vision, peripheral vision, depth perception and the ability to adjust focus. Generally, the employee will not be in a temperature-controlled work environment and may experience temperature variations due to local weather conditions.

Availability:

    •  Must be available to work in the evenings and weekends, as required.

  • Based on the Fair Labor Standards Act (FLSA), management has analyzed this position and determined it to be exempt due to the Administrative Exemption.
